5 Key Checkpoints Before Sealing a Bid Document

After all the hard work of preparing the bid document, the biggest fear is Errors at the last moment before sealing Many bids are rejected not because of their content but because of "basic mistakes" in sealing, stamping and timing. Before sealing, check the following 5 points one by one:

Check 1: are signatures and seals complete

Signature of the legal representative, company seal, cross-page seal, electronic signature — In the position and quantity required by the tender documents Check each one. Too many seals is not acceptable, and too few is worse; blurred seals must be re-stamped.

Check 2: number of copies and sealing requirements

How many originals and how many copies? Is an electronic CD/USB drive required? Labels inside and outside the sealed bag How to fill them in? Follow the documents on these details, do not rely on experience.

Check 3: is the quotation consistent throughout

The bid opening summary, the detailed quotation and the amounts in words and figures must be fully consistent; If there are discount commitments, check whether they conflict with the price schedule.

Check 4: document completeness

Confirm item by item against the evaluation method: whether qualification documents, technical proposal, commercial documents, commitment letters and social insurance records are all bound into the volume, and whether the page numbers in the table of contents match the body.

Check 5: timing and submission method

For paper bids, plan the travel route and submission window; for electronic bids Complete the upload and electronic signing 1 day in advance, do not wait until the last half hour before the deadline to act.
