Full-Process Guide to Exhibition Setup: From Design to Build

Exhibiting is a major customer acquisition channel for many enterprises, yet booth setup is often left to the last minute: Rushed design, rushed materials and pitfalls during build-up For a professional exhibition setup, it is recommended to plan backwards from the event date using the following process.

1. 30-45 Days Before the Exhibition: Finalise the Plan

Determine based on booth size, location and budget Display focus and style direction is it mainly image display or product experience? Finalize the key visual and functional zones (reception, display, negotiation) in one go to avoid repeated revisions delaying the production schedule.

2. 15-20 days before the exhibition: produce the materials

Common booth materials include: Backdrop boards, lightboxes, roll-up / gate-frame stands, brochures, business cards and banners and so on. Large-format and indoor inkjet printing need time reserved for proofing and color matching; for batch printing, produce a digital proof first to confirm color deviation.

3. Seven days before the exhibition: coordinate logistics and venue access

Confirm the exhibition venue's Move-in time, height limit for build-up and electricity application and other rules; pack materials in advance and label them with the booth number, and keep valuable equipment with you. For exhibitions in another city, allow buffer time for logistics.

4. During the exhibition and at teardown: do not overlook the details

  • Before the exhibition opens, check the lighting, the flatness of the graphics and the quantity of materials
  • Keep materials well stocked, and collect business cards while registering leads
  • Clear the booth as required by the venue, and keep reusable materials for next time
